How a Nonprofit Modernized Guardianship Case Intake with AI

Our client, a New York–based nonprofit providing legal guardianship and case management services for elderly individuals who are unable to manage their personal or financial affairs, faced growing challenges in processing guardianship documents efficiently.
The manual review of legal documents like Verified Petitions, Orders, and Court Evaluator Reports consumed significant staff time and often led to inconsistent case setup in Salesforce.

To solve this, we implemented an AI-powered Intake Bot—an intelligent automation framework designed to extract key details from guardianship documents, populate Salesforce fields automatically, and generate actionable tasks in real time. The system also automates the creation of court templates such as Oath & Designation, Commission Drafts, and Bond Applications—streamlining the entire guardianship case intake process.

Modernizing Communication Workflows with Salesforce Automation

Our client, a New York–based nonprofit providing legal guardianship and case management services for elderly individuals who are unable to manage their personal or financial affairs, needed a reliable way to alert family members when a client was admitted to the hospital. Manual communication often caused delays, as staff had to review records and contact relatives individually.

To solve this, we designed and implemented a custom Salesforce Lightning solution that automatically notifies designated contacts whenever a client’s residency status changes to “Hospital.” The alert appears as a time-bound message on the Account record, reducing communication delays and ensuring families are informed promptly during critical moments.

Automating Client Interaction Tracking for Nonprofit Care Organizations

Our client, a New York–based nonprofit providing legal guardianship and case management services for elderly individuals who are unable to manage their personal or financial affairs, required a structured method for tracking care-related meetings.

We implemented a custom Salesforce object — Care Plan Meeting — to standardize documentation, automate communication with social workers, and enable historical meeting tracking.
